The Accountant will be responsible for managing the day-to-day accounting and financial operations of the company, ensuring accurate financial records, timely reporting, effective cash and stock management, tax compliance, and sound financial controls.
The role will support management decision-making through accurate financial analysis, reporting, budgeting and forecasting, while ensuring efficient management of accounts receivable, accounts payable, fuel inventory, station sales, cash collections and banking.
The successful candidate should have strong accounting experience, excellent analytical skills, attention to detail and a sound understanding of accounting and tax requirements applicable in the Democratic Republic of Congo.
Responsibilities :
A. Financial Reporting & Analysis
- Prepare timely and accurate financial reports to support management decision-making.
- Prepare monthly and periodic Profit & Loss Statements, Balance Sheets, Cash Flow Statements and financial projections.
- Analyse financial performance and provide relevant insights and recommendations to management.
- Maintain accurate and up-to-date accounting records in accordance with applicable accounting standards and company policies.
- Monitor costs and identify opportunities to improve operational efficiency and profitability.
- Provide financial information and analysis to support strategic and operational decisions.
B. Accounts Receivable Management
- Manage the accounts receivable function and ensure timely and accurate invoicing.
- Monitor customer accounts and follow up on outstanding balances.
- Ensure timely collection of receivables and maintain accurate customer account records.
- Prepare receivables reports and highlight overdue accounts and collection risks to management.
C. Accounts Payable Management
- Manage accounts payable and ensure invoices are properly verified, recorded and processed.
- Ensure suppliers and service providers are paid accurately and promptly.
- Monitor payment schedules to avoid delays that could affect operations, service delivery or product availability.
- Maintain accurate supplier records and reconcile supplier accounts regularly.
D. Fuel Inventory & Stock Management
- Monitor and reconcile fuel inventory across different storage facilities and service stations.
- Perform regular stock reconciliations and investigate discrepancies and variances.
- Work closely with operations, procurement and logistics teams to ensure adequate fuel availability and minimize stock-outs.
- Support effective planning and monitoring of fuel purchases and imports.
- Ensure accurate recording of fuel movements, receipts, sales and closing stock.
E. Station Sales, Cash & Banking Reconciliation
- Perform daily reconciliation of station sales against cash and other payment collections.
- Ensure daily collections are accurately accounted for and banked promptly.
- Reconcile station cash balances and investigate any discrepancies.
- Conduct regular cash audits at stations and report any variances or control issues.
- Ensure appropriate financial controls are maintained across all stations.
F. Bank & Financial Reconciliations
- Perform daily, weekly and monthly reconciliations for:
- Bank accounts
- Cash
- Fuel and other stock
- Station sales
- Accounts receivable
- Accounts payable
- Investigate and resolve reconciling items promptly.
- Maintain proper documentation and audit trails for all reconciliations.
G. Tax Compliance
- Ensure compliance with applicable tax laws and regulations in the Democratic Republic of Congo.
- Prepare and/or coordinate timely submission of statutory tax returns and payments.
- Maintain accurate tax records and supporting documentation.
- Monitor changes in relevant tax legislation and advise management on applicable requirements.
- Work with relevant internal and external stakeholders to address tax queries, audits and compliance matters.
H. Budgeting & Forecasting
- Work with various departments to prepare annual budgets and periodic forecasts.
- Monitor actual expenditure against approved budgets and investigate significant variances.
- Support effective resource allocation and financial planning.
- Provide financial information to departments to support cost control and operational planning.
I. Internal Controls & Audit
- Ensure adherence to established accounting policies, procedures and internal controls.
- Conduct regular financial, cash and stock audits at service stations and other relevant locations.
- Identify control weaknesses, financial risks and irregularities and recommend corrective measures.
- Support internal and external audit processes by providing accurate records and supporting documentation.
J. Cross-Functional Collaboration
- Work closely with procurement, operations, logistics, sales and other departments to support effective financial management.
- Collaborate with relevant teams to ensure efficient fuel purchasing, importation and delivery to customers.
- Provide financial input into operational and commercial decisions.
- Promote accountability and cost-consciousness across the organization.
K. General Responsibilities
- Maintain confidentiality and integrity of financial information.
- Ensure all financial transactions are properly authorized, recorded and supported by appropriate documentation.
- Keep abreast of relevant accounting, tax and regulatory requirements.
- Perform any other duties related to the company’s financial performance and operational requirements as assigned by management.
