 ADMINISTRATIVE ASSISTANT

Job Summary:

Reporting to the Chief Operating Officer, West and Central Africa, the Administrative Assistant ensures the provision of efficient administrative, logistics and procurement support services required for the smooth running of the Bank’s office in Kinshasa.

Job Specifications:

The Administrative Assistant is responsible for the following functions:

  • Provide reception and administrative support services to support the country office; i.e. answer and direct phone calls, schedule meetings, etc.
  • Process and ensure the procurement of goods and services in accordance with the policies and procedures of the Bank;
  • Handle contract and property management on matters pertaining to the management of shared costs and utility services;
  • Provide protocol support services for staff members and Bank’s visitors, i.e., processing of work and residence permit, diplomatic IDs, vehicle registration and other related tasks;
  • Handle duty free formalities and process VAT exemption requests;
  • Provide travel management and event organization services;
  • Process basic accounting transactions for the country office and process payments to vendors and suppliers;
  • Support budget preparation for the country office;
  • Manage the administrative and logistic requirements of the Kinshasa office including insurance formalities and petty cash handling;
  • Prepare monthly and ad-hoc reports and support in translating documents;
  • Develop and maintain an accurate documentation and filling system;
  • Supervise support staff (e.g. driver, messenger, etc.);
  • Liaise with clients for sharing documents such as Checklists and NDA templates
  • Perform any other duties that may be assigned by management.

Qualifications and Competences:

  • A minimum of a Bachelors’ degree in Public/ Business Administration or related qualification from a recognized institution with relevant professional qualification as added advantage.
  • A minimum of 5-8 years of relevant experience in an international corporate or banking environment.
  • Adept in office systems software / equipment with strong information technology skills with excellent IT skills in MS Office (Ms Excel and PowerPoint in particular) and SAP ERP;
  • Excellent communication and interpersonal skills with the ability to work in a multi-cultural environment;
  • Ability to work under pressure to deliver on strict deadlines with minimal supervision.
  • Team player and ability to juggle with multiple, changing priorities;
  • Strong interpersonal, organizational and planning skills, tact and discretion.

Language Requirement:

Fluency in both written and spoken French and English is mandatory. 

Duty Station:

The duty station is Kinshasa, DR Congo.
